Credit Tracking System Guide
A transaction ledger for participant allowances, employee incentives, volunteer rewards and training milestones. This demo preserves the program-credit workflow with fictional records in a private interactive workspace.
Balances and stays
Balances come from ledger entries: credits and returns add value; spending, cash issues, payouts, forfeitures and expirations subtract it. Adjustments document corrections. One participant can have several separate stays. A forfeited prior balance never carries into a later stay.
Eligibility and weekly credits
The configured waiting period is 14 days. Once eligible, an initial amount is entered by staff; later batches default to 24 credits. Preview another batch date, inspect exceptions and review posted batches. Corrections use adjustments instead of rewriting posted history.
Spending and outside income
Spending uses configured categories. Employment, SSI, SSDI, Unemployment, Pension and Other Income can stop weekly credits without closing a stay. Ending an income period resumes eligibility. Leadership-approved exceptions require a reason.
Cash conversions
Inspect requested and issued amounts, request and issue times, the three-day receipt deadline and reconciliation. Returned unused cash creates a separate credit-return entry, so net use equals issued cash minus returns. Production records a request together with issuance; it has no separate pending-request queue.
Payouts, departures and restrictions
Employment payouts require first-paycheck and paperwork confirmation, up to the configured 100-credit maximum and available balance. Graduation can pay up to 100 credits and allow a 30-day thrift-only window, capped at 100 credits. Left Early and Dismissed forfeit remaining balances. Expiration is a ledger entry, preserving history.
Reporting and administration
Filter transaction reports by dates, participant, type, category or stay status. CSV exports use the same selected filters and site-local dates/times. Open participant, stay, cash-conversion and transaction details to trace balances. Program rules, categories, income types and departure reasons can be changed in your workspace. Existing posted transactions are preserved; future calculations use your updated rules. Accounts, user types and destructive data tools remain unavailable.
Dorm is operationally read-only. Staff has normal operational permissions. Super Admin also manages settings, users, custom user types and data tools. Your demo permits operational changes only inside your private workspace.
Using the demo
Log in with demo / catalyst demo. Create fictional participants, start stays, post credits, record spending and adjustments, manage holds, reconcile cash and process departures. New workspaces use today’s WordPress site date. Eligibility, receipt deadlines and restricted-balance expiration continue as time advances; your transaction dates never shift. Reset My Demo restores only your workspace. Workspaces expire after 12 hours or on logout, with automatic cleanup. Use fictional information only. Shared credentials cannot be changed.
